Our dynamic Development Department is responsible for raising over $700 million annually in funds in order to meet the financial needs of our organization which allows MSF to carry out its mission effectively and efficiently.



The Technology, Product, and Services team is responsible for managing a best-of-breed technology ecosystem, gift processing, supporting department wide strategy and planning and stewarding donors with exceptional service. 



Purpose of the Job


The Gift Processing team oversees all donation streams into the CRM of record in a timely and accurate manner. This enables MSF-USA to operate an extremely diverse, complex, and fast-paced fundraising program.




Under the supervision of the Senior Manager of Gift Processing and in daily collaboration with all Gift Processing team members, this role provides administrative support to MSF’s fundraising operations. Ensures gift processing and updates to donor accounts in MSF’s donor database are performed with the utmost attention to detail and data quality; takes responsibility for regular data entry, data hygiene routines, and project execution.


The Gift Processing Associate must perform all business functions in accordance with MSF business rules, upholding the highest ethical standards and safeguarding the confidentiality of our donors. This position is a 12 month temporary assignment. The role has the potential to be made a regular position within the 12 month assignment based on business goals and the performance of the individual in the role.




Essential Functions and Responsibilities


Quality Control of data inputs/uploads into donor database (60%)


  • Reviews and performs quality assurance on work performed by MSF’s mail processing/caging vendor to ensure the accuracy of data entered into donor database of record. Ensure reports generated by mail processing vendor are accurate.
  • Performs regular uploads of donation files and ensures records are entered correctly.
  • Supports work of Gift Processing team members in charge of data entry of third-party aggregator donations ensuring data is entered consistently and accurately.
  • Conducts Gift Processing data hygiene routines as requested by Sr. Gift Processing Manager, such as merging duplicate accounts and fulfilling gift adjustment requests.
  • Supports MSF acknowledgements program to produce donation receipts during periods of high volume with high level of data quality.
  • Takes ownership in conducting financial reconciliation procedures.
  • Handles complex gift entry with a high rate of accuracy, able to accurately capture various giving scenarios in the CRM.



General Operations & Vendor Support (20%)


  • Engages and supports in aspects of work performed by external vendors handling MSF donations.
  • Works closely with Donor Services to answer questions, troubleshoot donor data issues and resolve problems which can only be resolved by contacting donor as quickly as possible.
  • Develops working knowledge of all main donor database functions, routines, systems, and coding.
  • Provides coverage for other Gift Processing Associate(s) and Assistant(s) as necessary and must be familiar with their work routines. Supports team members with diverse tasks, as assigned.



 Data entry, data hygiene and financial batch processing (10%)


  • Performs quality assurance on financial adjustments to payments entered by Finance or Gift Processing team.
  • Identify, diagnose, and address routine operational problems regarding data processing and reporting encountered by other staff.



Planning & Management (10%)

  • Leads projects under the supervision of the Senior Manager of Gift Processing.
    • Coordinate communications between project stakeholders
    • Maintain project planning documents
    • Implement and execute project plans


  • Contributes to creating or updating documentation of policies and procedures as directed by the Manager of Gift Processing and in accordance with the team’s document management plan.
  • Contributes to the creation and implementation of an annual Gift Processing plan, designed to continually improve the efficacy and efficiency of fundraising systems.
  • Attends staff meetings and several annual office-wide debates to participate in information sharing across all departments and stay informed on important MSF topics to contribute to the organization’s ongoing development.


Supervisory Responsibilities:


Trains and supports temporary employees and interns under the supervision of the Senior Manager of Gift Processing.


Fiscal Responsibility


Contributes to the generation of revenue by helping to maintain the accuracy and timeliness of revenue recording, which allows us to provide high quality service to our donors. Is responsible for maintaining the privacy of donors’ personal and financial data.


Extent of Public Contact


While the Gift Processing Associate will rarely have direct contact with donors, this role will frequently represent MSF in meetings with vendors and must act in accordance with the highest standards of professional conduct.


Physical Demands


While performing the duties of this job, the employee is required to sit for long periods and to concentrate on work, including typing, and turn out heavy volumes of work accurately, within the context of a moderately noisy office.  Must be able to proofread own work accurately so that only minor corrections are needed on an infrequent basis.

Working Conditions, Travel and Environment


The duties of the job require regular attendance 5 days/week for a minimum of 35 hours.  Must be available to work before 9:00 am, after 5:00 pm or on weekends, as required.  Must be able to travel as required for standard domestic and international business travel.







  • 3-4 years administrative work experience in an office environment
  • Ability to deal with a variety of problems/issues by utilizing established protocols
  • Ability to work with a minimum of supervision
  • Keen attention to detail with ability to track multiple projects at one time
  • Strong written and verbal communication skills
  • CRM/Relational Database (e.g. SalesForce) experience required
  • Familiarity with Excel required
  • Organized, extremely detail-oriented, ability to prioritize and work under pressure, with a flair for creative problem solving
  • US work authorization



Expected to work in a hybrid  work environment with the ability to come into either the NYC office or regional hub (Washington, DC or Bay Area, CA) a minimum of 2 times a week.
